Your First Scan in WarehouseQ
From install to a posted, ledger-confirmed receipt. Six steps.
Prerequisites
- WarehouseQ installed in your Business Central environment.
- At least one location with an open purchase order or transfer order to receive against.
- A phone or tablet with a camera, or a paired hardware scanner.

1. Install WarehouseQ into your Business Central environment
A one-time admin step. Once installed, WarehouseQ appears alongside your other Business Central apps — there’s nothing to configure separately before the next step, because WarehouseQ reads your existing location and bin setup rather than asking for a parallel configuration of its own.
2. Assign the operator permission level to whoever will scan
See licensing & permissions for exactly what that level does. This is the step that actually turns on posting rights for a given user — assigning the level alone doesn’t cost anything until a real transaction posts against it, but it’s what makes the rest of this walkthrough possible for that user.
3. Open the mobile access page inside Business Central
This is the bridge between the desk client and the phone in an operator’s hand — it’s where a device gets paired to their account. An admin typically does this once per operator, not once per shift.
4. Scan the on-screen QR code with the phone’s camera
This opens the mobile scanning surface on that device, signed in as that operator, without them ever typing a URL or a password by hand. From this point forward, the operator works entirely from their phone or tablet — no desk-client access is needed for anything covered by the rest of this walkthrough.
5. Scan a real inbound line
Pick an actual open receipt line — from a real purchase order or transfer order — and scan it through to completion, tracking prompts included if the item requires lot, serial, or package numbers. 6. Check Business Central — the receipt is posted
Open the item’s ledger entries from the desk client. The quantity that was just scanned is there, on the ledger, because WarehouseQ already read it back and confirmed it before ever telling the operator the scan was done — the same confirmation step every operation WarehouseQ supports goes through, described in the user guide overview.
